Proof of Income for an Apartment: What Landlords Accept

The documents that prove you make 3 times the rent: pay stubs, offer letters, tax returns, bank statements and benefit letters, with what to bring for each kind of income.

To pass the income test on a rental application you have to do two things: earn enough and prove it. The 3x rent calculator tells you the first number. This guide covers the paperwork behind the second.

What the landlord is checking

A landlord wants documents that show gross income of at least 3 times the rent and some sign that the income will continue. On a $1,500 apartment that means paperwork adding up to $4,500 a month.

Income that cannot be documented is treated as if it does not exist. Bring more than you think you need.

If you are an employee

Pay stubs come first. The standard request is the last two or three. The landlord reads the gross pay line and converts it to a month. A pay stub with year-to-date totals helps if your hours vary, because it shows the average.

If you are starting a new job, a signed offer letter on company letterhead with the salary and start date is normally enough. Some landlords also want the first pay stub once you have it.

A W-2 or last year’s tax return is useful when your pay includes bonuses or commission that recent stubs do not show.

Many landlords also call or email your employer’s HR department to verify employment. Give them a working contact so the check does not stall.

If you are self-employed or do gig work

There is no single document, so landlords ask for several:

  • The last one or two federal tax returns, including Schedule C
  • 1099 forms from clients or platforms
  • Three to six months of bank statements showing deposits
  • A year-to-date profit and loss statement

If your income is not from work

Each source has its own document:

  • Social Security or disability: the benefit award letter
  • Pension or annuity: a statement from the plan
  • Child support or alimony: the court order, plus bank statements showing it arrives
  • Housing voucher or other assistance: the paperwork from the agency
  • Investments or savings: recent account statements

Students often show a financial aid award letter along with a parent as guarantor.

Landlords do this math for you, and it is worth checking their work. It is the same sum behind knowing whether you make 3x the rent.

The every-two-weeks line catches people. A $2,000 biweekly check is $4,333 a month, not $4,000. If you sit close to 3 times the rent, make sure the landlord used 26 pay periods.

When the documents come up short

If the paperwork shows less than 3 times the rent, say so before you apply and offer a way to close the gap. A co-signer, a larger deposit where the state allows it, or statements showing savings all work. The full list is in how to rent without 3x income.

Protect your information

A rental application asks for sensitive records. Black out all but the last four digits of account numbers and your Social Security number on copies unless the landlord needs the full number to pull your credit history. Send documents through the property’s application portal, not by text, and confirm you are dealing with the real owner or manager before you send anything.
